Terms & Conditions
For the CutFlow business management and customer booking platform
1. About CutFlow
CutFlow is a software-as-a-service platform supplied by Isiphosendalo Solutions. It is designed for barber shops, salons and related service businesses to manage online storefronts, appointments, walk-in queues, staff, services, customers, payment settings, loyalty, promotions and operational reporting.
In these Terms, "we", "us" and "our" mean Isiphosendalo Solutions; "CutFlow" means the CutFlow platform and related services; and "Business" or "you" means the person or entity that creates or uses a CutFlow business account.
2. Acceptance of these Terms
By registering for, accessing or using CutFlow, you agree to these Terms and our Privacy Policy and Refund Policy. If you are using CutFlow on behalf of a business or other organisation, you confirm that you have authority to bind that organisation to these Terms.
If you do not agree to these Terms, you must not use CutFlow.
3. Business accounts and authorised users
- You must provide accurate, current and complete registration and business information.
- You are responsible for maintaining the confidentiality of your login details and for activity performed through your account.
- You must only give staff access that is appropriate to their role and must remove access when a staff member no longer requires it.
- You must notify us promptly if you suspect unauthorised access, credential compromise or misuse of your account.
- You are responsible for ensuring that information you publish on your public storefront, including prices, opening hours, addresses, payment instructions, images and promotions, is accurate and lawful.
4. 7-day free trial
Eligible new businesses may receive a 7-day free trial. No CutFlow subscription fee is charged for the trial itself unless clearly disclosed before activation.
At the end of the trial, an active paid subscription is required to continue using subscription-controlled CutFlow services. If the trial expires without successful payment, access may be restricted or locked while business data remains stored subject to our retention practices and applicable law.
We may limit repeated or abusive trial registrations.
5. Subscription plans and pricing
The current standard plans are:
- Monthly plan: R299 per month.
- Annual plan: R3,300 per year.
All prices are stated in South African Rand. Any applicable taxes, fees or charges required by law will be disclosed where relevant. We may change pricing for future billing periods by giving reasonable notice where required. A price change does not retrospectively change a completed payment.
6. Billing and EFT payments
CutFlow subscription payments are made by EFT to the bank account shown on the invoice issued by Isiphosendalo Solutions. Subscription access is activated only after the payment is received and verified.
- You authorise the selected payment provider to process the subscription payment or recurring payment you approve.
- A subscription is treated as paid only once payment has been successfully processed and verified.
- If a payment fails, is reversed or cannot be verified, access may remain restricted until a successful payment is received.
- You are responsible for keeping your billing information current.
7. Cancellation and expiry
You may cancel or request cancellation of your subscription using any cancellation method made available in CutFlow or by contacting us. Cancellation prevents future renewal charges once processed, subject to any applicable notice requirements and rights under South African law.
Unless applicable law or an approved refund provides otherwise, cancellation does not automatically create a refund for a period already paid for. Access may continue until the end of the paid period, or may be handled as otherwise communicated at the time of cancellation.
If a subscription expires or is cancelled, subscription-controlled services may be locked. Data may remain stored for a reasonable period subject to our Privacy Policy, operational requirements and applicable law.
8. Customer payments are separate from CutFlow subscription payments
A salon, barber or other Business may configure its own customer payment methods, including cash, card, EFT, Yoco, Ozow or another supported option. These customer payments are separate from the Business's CutFlow subscription payment to Isiphosendalo Solutions.
Unless CutFlow expressly states otherwise for a specific transaction, the relevant Business is the seller or service provider to its customer and is responsible for its own prices, services, customer refunds, tax obligations, payment instructions and payment disputes.
CutFlow may display or facilitate a link to a third-party payment service, but we do not guarantee the availability, approval, settlement or reversal of a third-party customer payment.
9. Acceptable use
You must not use CutFlow to:
- break any applicable law or regulation;
- upload unlawful, fraudulent, defamatory, discriminatory, infringing or malicious content;
- attempt to gain unauthorised access to another business, account, database, system or credential;
- interfere with platform security, availability or performance;
- use automated methods to scrape, overload, probe or attack the service;
- misrepresent your identity, business, prices, services or payment details; or
- use customer information for unlawful spam, harassment or unauthorised direct marketing.
10. Customer data and business responsibilities
Businesses may use CutFlow to collect and manage customer names, contact details, appointments, service history, queue information, payment records and related business information. The Business remains responsible for having a lawful basis to collect and use its customer information and for complying with applicable privacy and consumer laws.
Where we process customer personal information on behalf of a Business, we may act as an operator or service provider to that Business. Where we determine our own purposes for processing platform, account, billing, security or support information, Isiphosendalo Solutions may act as the responsible party. 11. Intellectual property
CutFlow, its software, design, branding, interfaces, documentation and underlying technology are owned by or licensed to Isiphosendalo Solutions and are protected by applicable intellectual property laws. These Terms give you a limited, non-exclusive, non-transferable right to use CutFlow for your legitimate business operations while your access is active.
You retain ownership of business content that you upload, such as your business name, logo, images, service descriptions and other original content. You grant us the limited rights necessary to host, process, display and transmit that content for the purpose of providing CutFlow.
12. Third-party services
CutFlow relies on third-party technology and may integrate with services such as hosting, database, authentication, maps, communications and payment providers. We are not responsible for a third party's independent service, outage, terms, pricing or privacy practices, although we take reasonable steps to select and operate suitable service providers.
13. Availability, maintenance and changes
We aim to keep CutFlow available and reliable, but uninterrupted or error-free service cannot be guaranteed. Planned maintenance, emergency maintenance, internet failures, third-party outages, security incidents or events beyond our reasonable control may affect availability.
We may update, improve, replace or discontinue features where reasonably necessary. We will try to avoid materially reducing paid functionality without reasonable notice where practicable.
14. Security
We use reasonable technical and organisational safeguards appropriate to the nature of the service. However, no internet-based system can be guaranteed to be completely secure. You are responsible for device security, strong passwords, authorised access and secure handling of any business payment details you configure.
15. Warranties and consumer rights
CutFlow is provided as a business software service. We will provide the service with reasonable care and skill, subject to these Terms and applicable law. To the maximum extent permitted by law, we do not guarantee a specific increase in revenue, customer retention, bookings, no-show reduction or business performance.
Nothing in these Terms excludes or limits any right or remedy that cannot lawfully be excluded under applicable South African law, including rights that may apply under the Consumer Protection Act or Electronic Communications and Transactions Act.
16. Limitation of liability
To the extent permitted by law, Isiphosendalo Solutions will not be liable for indirect, incidental, special or consequential loss arising from use of CutFlow, including loss of profit, reputation or business opportunity, where such loss was not reasonably foreseeable or was caused by circumstances outside our reasonable control.
Where liability cannot lawfully be excluded, it will be limited only to the extent permitted by applicable law. Nothing in these Terms limits liability for fraud, wilful misconduct or any liability that applicable law does not allow to be limited.
17. Suspension or termination
We may suspend or terminate access where reasonably necessary because of non-payment, serious or repeated breach of these Terms, suspected fraud, security risk, unlawful activity, misuse of the platform or a legal requirement. Where practicable, we will provide notice and a reasonable opportunity to remedy a remediable breach.
18. Privacy
Our collection and use of personal information is described in the CutFlow Privacy Policy. Businesses using CutFlow must also provide any privacy notices required for their own customer processing.
19. Changes to these Terms
We may update these Terms from time to time. If a change is material, we will take reasonable steps to notify affected users before or when the change takes effect. Continued use after the effective date of an updated version constitutes acceptance to the extent permitted by law.
20. Governing law and disputes
These Terms are governed by the laws of the Republic of South Africa. Before starting formal proceedings, the parties should first try in good faith to resolve a dispute by contacting each other and allowing a reasonable opportunity for resolution. This clause does not prevent either party from using any statutory complaint, consumer, privacy or court process available to it.
